Administration and Organization Issues
TRIAENA S.A.: Coordinating Agency of Candidacy and Organization
Triaena S.A. is the oldest (since 1965) agency for organizing congresses and scientific events, workshops and exhibitions in Greece. Currently, it is the biggest agency in this field, in terms of undertaken activities per year, annual budget, area of installations and number of staff.

Efficiency and Experience: Our experience at organizing big international conferences in the case of HTC-2009
Prof. Agathopoulos has successfully cooperated with TRIAENA S.A. at organizing the 6th International Conference on High Temperature and Capillarity "HTC-2009" in Athens in May 6-9, 2009.
Prof. S. Agathopoulos acted as the General Coordinator and Chairman, and TRIAENA S.A. was the Organizing Agency.
The cooperation of Dr. Agathopoulos and TRIAENA S.A. had started from preparing a complete file of candidacy, submitted to the International Scientific Committee of HTC in Alicante-Spain 2 years earlier (2007).
The Conference gathered about 140 participants from all countries of the world and took place for 4 days (the presentations took place from 08:30 to 19:00 each day). The Program comprised 11 sessions of about 65 oral presentations and 2 poster sessions (of about 80 posters). They all took place in 1 big room (there were not parallel sessions). They presentations were divided in 4 scientific subjects.
With regards to the social events, beyond lunches and dinners (which were not the same each day), the social events were included a banquet (an outside-dinner at a restaurant close to the sea), a pre-conference tour to Poseidon Temple, a conference tour to Acropolis hill (that time, the famous new Acropolis Museum was not inaugurated yet) and a Greek night dinner afterwards, and a post-conference tour to Delhi-Shrine (the tours to the archaeological sites were guided).
The success of the HTC-2009 conference accounts
(i) the excellent and personal contact with the participants before the conference via a complete and very informative web-site, personal e-mails, keeping the time-schedule given from the beginning and maintaining the registration fees presented from the beginning,
(ii) the excellent organization during the period of the conference, including their reception, keeping the schedule, solving unexpected problems or individual demands of participants,
(iii) the high scientific level of the Conference, and
(iv) the perfect social events with high cultural impact, which resulted in building a fruitful friendship atmosphere among the participants.
The success of the Conference has been outlined in numerous flattering e-mails sent to Dr. Agathopoulos by the participants after the Conference.
Administration general issues and management of the Conference
The University of Ioannina will provide a complete coverage regarding legal issues, such as
All the correspondence, including Abstract and Paper submission as well as payment of fees, will be conducted via Internet. No paper work will be conducted at all. The suggested addresses for the website are:
E-mail will be also a very active means for private contact with each participant personally. Our intension is to establish a personal contact with each participant (as we had managed to do with the International Conference "HTC-2009", that we organized).
TRIAENA S.A. will manage the registration and accommodation issues of all the participants.
On-line registration will be available for secure and confidential payment via all types of credit cards and bank-transfer.
All the correspondence with TRIAENA will be acknowledged within 3 days after any request, payment etc.
TRIAENA will issue legal receipts and Attestation for Conference Participation for each participant. We can issue the receipts according to the individual demands of each participant (according to the demands of his/her Institution).
TRIAENA, in a close collaboration with the Organizing Committee and the Executive Committee, will arrange the management of conference rooms, poster panels, catering, hotel and everything related to the perfect organization of the Conference.
The Proceedings of the Conference will be printed according to the established tradition of "Bioceramics" Conferences. The experience of the previous Conferences and mainly Bioceramics-26 and 27 will be transferred in our Conference.
Logo & Documents
The logotype of the Conference was inspired and designed by Prof. Akis Agathopoulos and Dr. Nansy Saranti in such a way as

Facilities
Oral presentations (files, projectors, microphones, speakers)
All the presentations (from any type of software and computer) will be introduced outside the auditoriums before the sessions and transferred electronically inside the room (specialist in computers and electronics will be employed for this purpose). Authors who do not wish to download their presentation in the conference computer will be also helped accordingly. The authors will be able to present videos etc. Any special requirement of the authors can be satisfied (provided that his/her needs are known to us in advance). However, all these special requirements will be known to us long time before the conference (from the stage of submitting the Abstracts).
Small wireless microphones will be clamped onto the dress of the speaker to allow him/her to move freely far from the main pontium (this is common in such type of conferences) with no compromise the high quality of his/her voice.
Electronic pointer will be available.
Chairpersons will follow the presentations from small screens put on the chairing table.
2 wireless microphones in the auditorium will be available for questions from the audience.
Poster presentation
For the Poster presentations, we can also activate the mode of electronic poster presentation. This is a very new modern facility whereas the posters can be presented in electronic screens.
Certainly, classic poster presentation (i.e. put the posters on high quality vertical panels) will be available.
Moreover, as explained in the link of the Program, the Poster sessions are suggested to be combined with the lunch-dinner events in order to have together all the participants of the conference in the room of the posters, and thus to achieve more stimulating discussions in front of the posters and creating a friendly and warm atmosphere among the participants.
Volunteers
Many students of the University of Ioannina have already expressed their warm interest to help this important event as volunteers in order to help the participants for any need and information they may need, as well as, inside the auditoriums, for carrying the microphones for the questions etc. Beyond helping the conference, this is a great opportunity for them to participate actively in a very important international scientific event that will help greatly their studies in the field of Bioceramics, as well.
